How do I check for duplicates in HubSpot?

HubSpot has a built-in duplicate detection feature that can help you identify and merge duplicate contacts and companies.

HubSpot has a built-in duplicate detection feature that can help you identify and merge duplicate contacts and companies. To use this feature, follow these steps:

  1. Go to Contacts or Companies in your HubSpot account.
  2. Click Settings in the top right corner.
  3. Click Manage duplicates.
  4. HubSpot will scan your contacts or companies for duplicates. This may take a few minutes.
  5. Once the scan is complete, HubSpot will list all of the duplicate records.
  6. You can review each duplicate record and decide whether to merge them.

To merge duplicate records, follow these steps:

  1. Select the duplicate records that you want to merge.
  2. Click Merge.
  3. HubSpot will merge the selected records into a single record.
  4. The duplicate records will be deleted.

Note: HubSpot's duplicate detection feature uses a variety of factors to identify duplicate records, including name, email address, phone number, and company name. However, it is possible that HubSpot may incorrectly identify some records as duplicates. If you find that HubSpot has merged two records that should not have been merged, you can undo the merge by following these steps:

  1. Go to Contacts or Companies in your HubSpot account.
  2. Click Settings in the top right corner.
  3. Click Manage duplicates.
  4. Click Undo merge next to the record that you want to undo.
  5. HubSpot will undo the merge and restore the two records to their original state.

Additional tips:

  • To prevent duplicate records from being created in the first place, be sure to enter all of the relevant information for each contact or company when you create a new record.
  • You can also use HubSpot's Data validation feature to prevent duplicate records from being created. Data validation allows you to specify rules for the data that can be entered into a field. For example, you can specify that a field must contain a unique value.
  • If you have a large number of contacts or companies, you may want to consider using a third-party duplicate detection tool. These tools can be more effective than HubSpot's built-in duplicate detection feature at identifying duplicate records.
